Find what you need – Fast: How to master search in a growing content library

You know the moment.

You open your asset library, type in a few keywords, and... nothing. Or worse, everything. Dozens of near-duplicates. Old drafts. Wrong formats. A mountain of content, but not the one thing you actually need.

Sound familiar?

These everyday frustrations are common. Maybe filenames are vague, tagging is inconsistent, or different teams use different naming conventions. Sometimes the asset you need is there — just hard to find because of incomplete metadata or unclear naming. And let’s not even talk about searching for something someone else uploaded and named final_v2_THISONEforreal.jpg.

When search fails, it’s rarely the search engine’s fault. More often, it’s a sign that the structure behind your content, the metadata, taxonomy, and governance, needs some attention.

The good news? With a few key improvements, and a better understanding of how search and filters actually work, you can take big steps toward a smoother, faster content discovery experience. And even small changes can make a big impact on your daily work.


Different ways to search, depending on what you're looking for

There’s no one “right” way to search. It really depends on your starting point.

If you're looking for a specific asset, like that one approved product image for the German market, a combination of search and filters is usually the fastest route. You might type in a keyword you remember (like the product name), then add filters like market, status, and file type to narrow it down quickly.

If you're looking for a collection of assets, say, all videos for an upcoming campaign, it can be more effective to start with filters right away. By filtering on asset type, campaign name, and approval status, you can surface everything you need without typing a single word.

And sometimes, you’re just not sure what you’re looking for yet. Maybe you’re exploring what content is available for a new initiative or trying to see what’s been done in a certain market. In those cases, it’s often best to start with a broad keyword search and then apply filters to refine as you go.

The key is knowing when to search, when to filter, and when to combine both. The more familiar you get with your system, and the smarter your metadata is, the faster your search experience becomes.


Understand how search really works

Behind the scenes, search engines work with a set of logic rules — and learning the basics can make a big difference.

Most DAM platforms (including QBank) allow for Boolean operators to fine-tune results. For example:

  • Use AND to require both terms (e.g. packaging AND brochure)

  • Use OR to expand your search (e.g. internal OR HR)

  • Use NOT or - to exclude results (e.g. launch -draft)

  • Use "quotes" to search exact phrases (e.g. "product manual")

These small tricks can make your search results far more accurate — and dramatically cut down on scrolling.


Search is only as good as your metadata

Of course, even the best search logic won’t help if your assets aren’t properly tagged.

Metadata is what connects your search query to the actual content. And it’s not just about title or file type. In a well-structured DAM, you can filter based on:

  • Basic information like format, file type, or resolution

  • Behavioral data like upload date, last update, or who added the file

  • Usage data such as where the asset is published or shared

  • Your own taxonomy — like product lines, brands, campaigns, or languages

This last part is especially important. A custom taxonomy should reflect how your teams think, work, and search. And that means investing time in defining the right metadata fields,  and making sure people use them consistently.

Give important metadata more weight

Some metadata fields matter more than others. In QBank, for example, you can assign search weight to different metadata properties. That means you can tell the system that a match in “Campaign Name” is more important than one in “language.”

It’s a small detail that can significantly improve how relevant your top results are, especially in large libraries.
