The power of metadata: How you can optimize your metadata in QBank DAM

Metadata is what makes your digital assets easy to find, organize, and use. But good metadata management is more than just adding tags—it’s about setting up a structure that works for your users, workflows, and business needs.

QBank lets you fully customize your metadata, allowing you to create the properties that matter most to your organization. One of the best ways to organize metadata is by using Categories and Metadata Property Sets, which group related metadata fields based on asset types, use cases, or business requirements.

1. Structure your metadata in metadata property sets 

In QBank, metadata properties can be grouped into Property Sets instead of being handled individually. This helps keep metadata structured and manageable while ensuring assets have the right information.

For example:

  • A Photography Property Set could include photographer name, shoot date, location, model rights, and usage terms.
  • A Product Content Property Set might contain SKU, product name, category, material, and compliance details.
  • A Video Property Set could have duration, resolution, transcript availability, and licensing info.
By organizing metadata into logical sets, users only see the fields that matter for a specific asset type.


2. Categorizing metadata for better control (Taxonomy)

Not all metadata is relevant for every asset. In QBank, you can structure metadata into Categories, ensuring that each asset type has the right set of metadata fields. This helps users see only the most relevant information, keeping the process streamlined and intuitive

For example:

  • 🖼 Images can have metadata for resolution, photographer, project or organizational belonging and licensing.
  • 🎥 Videos might include duration, subtitles, producer, and licensing details.
  • 📄 Marketing Collateral could display campaign name, type of material, approval status, and usage rights.
This keeps metadata relevant, reducing clutter and making the process intuitive.


3. Customizing metadata behavior for better usability

With QBank, you can easily manage how your metadata works to make your workflows smoother. Here are some handy options:

  • Read-only – Prevents users from editing a field, ensuring accuracy. Useful when importing data from systems like PIM to avoid unwanted changes.
  • HiddenKeeps certain fields hidden away for internal tracking or behind-the-scenes workflows, so users only see what they need.
  • Link – Connects related assets, making it easy to find similar content.
  • Ignore in suggestions – Excludes a field from AI-generated metadata suggestions.

For example, an approval status field could be set to Read-only, allowing only admins to change it, while an AI-generated tag could be set to Ignore in suggestions if manual tagging is preferred.

4. Free text weighting for smarter search

Metadata fields can be assigned different weights to influence search results. This ensures the most important metadata appears first.

📌 A - Extra High (e.g., product name, asset title)
📌 B - High (e.g., keywords, campaign name)
📌 C - Normal (e.g., description, general tags)
📌 D - Low (e.g., internal notes, technical metadata)
📌 0 - Don’t Include (e.g., fields that shouldn’t impact search)

Prioritizing metadata this way helps users find what they need faster.

5. Setting metadata rules for automation and governance

You can set mandatory metadata rules based on different conditions:

  • On Upload – Required when an asset is added.
  • On Edit – Required when an asset is modified.
  • Conditional Rules – Metadata becomes mandatory based on other fields.

For example, if an image is labeled Commercial Use, a Model Release Document field can automatically become required to ensure compliance.
